Acceptable Use Policy
Effective October 5, 2026
ClubNest is intended for legitimate organization management. This policy describes prohibited or restricted uses so the platform remains safe, reliable and useful.
1. Prohibited uses
- Violating applicable law, regulation, court order, sanctions or contractual obligations.
- Harassing, threatening, stalking, impersonating, defaming or materially deceiving another person.
- Uploading malware, ransomware, malicious code or content intended to compromise systems.
- Probing, scanning, attacking or bypassing authentication, access controls, rate limits, security features or organization boundaries.
- Accessing another organization’s workspace or information without authorization.
- Facilitating fraud, identity theft, phishing, financial crime or other deceptive conduct.
- Uploading highly sensitive information when it is not reasonably necessary, lawful or appropriate for the organization’s purpose.
- Creating or distributing content that unlawfully exploits children or facilitates abuse, including grooming, sexual solicitation, coercion or requests to conceal adult–youth communications.
- Uploading or sharing non-consensual intimate imagery, sexual exploitation material or unlawful hateful threats, whether real or digitally altered.
- Sending unlawful or unsolicited bulk communications or spam.
- Reverse engineering, copying, scraping or systematically extracting the service except where law expressly permits it.
- Circumventing subscription, usage, technical or security restrictions.
- Using automation that creates unreasonable load or interferes with the service for others.
2. Sensitive and regulated information
Do not upload Social Security numbers, full card numbers or security codes, account passwords, biometric identification templates, or protected health information requiring a HIPAA business associate agreement. Do not use ClubNest as a medical-record system, consumer-reporting or credit-eligibility service, emergency service, flight-control system or public governmental election system. A standard subscription does not supply a HIPAA agreement or certification for a regulated activity. Minimize sensitive information in notes, incident records and attachments, including youth and health information. Contact ClubNest before proposing a use requiring additional safeguards or agreements.
Communications and privacy
Send only communications you are authorized to send. Use accurate sender details and subjects, required advertisement identification, a valid physical postal address and a working unsubscribe mechanism for commercial email. Honor opt-outs within the applicable deadline, including CAN-SPAM’s ten-business-day limit, and do not evade suppression lists or disguise marketing as an account notice. A purchased list, imported record or membership does not establish consent. Do not scrape member information, disclose confidential youth or safety records, or use another person’s likeness without authority.
3. Organization responsibility
Organizations are responsible for their users, imported data, permissions, communications and content. If information is uploaded or exposed improperly, promptly restrict access and contact support.
4. Enforcement
We may investigate suspected violations and may remove content, restrict features, suspend accounts or terminate access when reasonably necessary to protect the service, users or the public. We consider severity, urgency and circumstances.
5. Reporting
Report suspected security issues, abuse or unlawful activity using the public contact below or your workspace. Optional organization filters do not change these prohibitions. For non-consensual intimate images, follow the removal request instructions; no account is required. For security vulnerabilities, provide enough detail to investigate without accessing, altering or disclosing other customers’ information.
