Children’s Privacy & Parent-Managed Memberships
Effective October 5, 2026
Protecting youth information and supporting safer participation are fundamental ClubNest values. Children under 14 do not have independent ClubNest accounts. A parent or legal guardian uses their own verified adult account to request a parent-managed membership from Family in the organization’s Member Portal. The organization reviews the guardian relationship before linking records.
Members aged 14–17
Parent or guardian name and email are required by default when a teen creates an account or joins an organization; phone is optional. An organization owner can turn off this contact requirement with a recorded responsibility acknowledgment. Registration contacts are shared only with authorized staff of the organization the teen joins. Providing a contact does not verify the adult, grant account access, or establish parental consent. Parent access still requires organization verification and the adult’s acceptance. Photo and communication safeguards are separate settings.

Information collected
Children under 14 have parent-managed membership records, not independent logins. A verified adult parent or legal guardian supplies the child’s name and birth date for organization review. The child-registration form does not request a child email, password, photo or government identifier. The organization may require additional membership documents and permissions through its own procedures.
Purpose and disclosures
We use the information to support private membership administration, parent access and age safeguards. Authorized organization staff, accepted parents and service providers needed to operate the service may access it within their responsibilities. Parent-managed registration does not authorize advertising, sale of child information, public posting or unrelated disclosure.
How consent is verified
The parent affirmatively authorizes the request from their own verified adult member account. An independent authorized organization administrator must verify the guardian relationship and any additional required permissions before approving a record and parent link. An account, checkbox or link is not a claim that every legally required consent process has been satisfied. No independent under-14 account can be activated, including through historical signed consent.
Parent choices and rights
Parents can review permitted linked records in Family and ask for a complete copy, correction or deletion through their own organization Messages tab or info@clubnest.tech. Pending registrations can be withdrawn. Ask the organization to stop further collection or revoke a parent link when appropriate. Do not send child documents through ordinary email. Parent access for under-18 records and youth communication controls default to on.
Retention
Registration requests are removed after 30 days; approved membership records and their guardian links remain under the organization’s applicable retention procedures. Historical signed consent evidence follows its existing expiry and revocation retention schedule. Child service records must be retained only for documented service purposes and applicable obligations. Restricted recovery copies may outlast live deletion; deletion and access restrictions must be reapplied before restored data returns to ordinary use.
Changes and availability
Organizations control permitted settings and must maintain supervision, required parental permissions and lawful handling of youth information. Turning off supported youth safeguards requires a workspace owner’s recorded acknowledgment; it does not waive statutory duties or ClubNest responsibilities. Under-14 parent visibility and communication protection, and platform photo moderation requirements, cannot be bypassed through that acknowledgment. Material changes to information practices require appropriate notice and any required renewed permissions.
